SPECIFIC RESPONSIBILITIES Perform general administrative duties for the Director of Development: recognize issues and anticipate needs, review requests for information and determines appropriateness of release, responsible for keeping Director informed of items requiring attention, receives and prioritizes Director?s emails, schedules appointments, manages calendar, filing, coordinates travel arrangements, processes expense reports, and prepares confidential correspondence.Schedule and coordinate the Annual Meeting of the Symphony, Board orientations, dinners, concert arrangements, site tours, receptions, seminars, and other specific Board Committee meetings, (the Board of Governors Committee meetings and select fundraising meetings). Become knowledgeable about the Symphony?s Bylaws and regularly update the Board of Governors Handbook. Administer the Board of Governors roster including maintaining lists and updating accounts in the Symphony database.Field incoming phone calls from Board members, donors, volunteers, and other constituents for the Director of Development and on behalf of the Development Division as appropriate. Coordinate the flow of information for patrons between the Division departments, often directing inquiries to the most appropriate staff person. Maintain and implement a master cultivation program of individual and institutional patrons and prospects for the Board President. Arrange dinners and receptions on a regular basis. Prepare, administer, and be accountable for the budget for the Development Division. Coordinate the development of the annual budgets with department Directors as well as periodic updates.Become proficient on Tessitura and other technology and computer functions as required by the Director of Development.Administer concert ticket allocations for the Development Division.Provide support, as indicated by the Director, for department managers, ongoing cultivation needs, and generally aid the timely work of the division.Assist in taking responsibility for the Development Division?s image both internally and externally. Represent the Development Division in a professional manner to donors, Board members, civic officials, and all internal staff and committee members over the telephone and in person.QUALIFICATIONSMinimum of three to five months experience in an executive assistant role in a fast-paced office. Experience in project coordination and excellent business writing skills, proofreading, and verbal communication skills. Advanced skills in MSOffice functions including proficiency in Word, Excel, Outlook, and PowerPoint. This position requires initiative, strong organization and follow-up skills, and ability to operate under pressure of time and multiple demands. Ability to work with diversity of people and desire to work across the organization. Must possess a polished public appearance and phone presence. Experience working with senior management highly desirable. Must be flexible, a team player, and have a helpful attitude.
